Job Description

Our client a leading Architectural and Urban Design Practice based in Bath is looking for a Group Coordinator to join the team on a temporary basis.

Hours: 09:00 – 17:30 Monday - Friday, with one hour for lunch unpaid.

You will be someone who is a confident administrator, proficient in both excel and word, a fast learner who has an aptitude for systems and document control with experience of working in a deadline orientated environment. The role requires drive, flexibility and a genuine capacity to multi-task effectively.

They value personalities who appreciate design or desire to work closely with designers in a supporting role. Those with a background in a design if capable of the above would be advantageous, especially if you can use adobe InDesign.

This role focuses on top quality support, whether project administration or group coordination.
The role requires a good communicator who likes to work in a team environment and can be incredibly rewarding to the right candidate. They want someone who is excited to join and ready to hit the ground running.

Duties include:
Project Administration & Coordination
Scheduling meetings
Taking minutes, typing up notes and distributing actions
Setting up internal design reviews
Providing assistance in creating and formatting project-related documentation, including letters, agendas, minutes, certificates, schedules and specifications
Providing assistance with office document control, including uploading/downloading project documents and digital filing from project Extranets
Providing assistance with creating presentations for meetings
Providing assistance with the layout and production of architectural reports and bids
Producing documents through copying, collating, binding and printing
Keeping the project center management system up to date with project information and contacts
Organising external printing and artwork production for meetings and bids
Organising couriers for models
Assisting Finance in issuing project invoices
Assisting HR in organising annual reviews
Studio Support
Scheduling Meetings for colleagues
Preparing for Studio visits and meetings
Answering calls and taking messages for colleagues
Arranging domestic and international travel booking and accommodation for colleagues
Providing reception assistance when needed
Providing tea/coffee assistance when needed
The successful applicant will have the following skills and attributes:
Previous experience in an office administration or similar role
Professional and approachable with good communication skills
Highly organised and pro-active, with the ability to work under pressure and to tight deadlines
Strong writing skills and close attention to detail
Strong team work ethic
Microsoft Office Suite skills
Adobe InDesign
(other Creative Suite skills advantageous)
